TERMS & CONDITIONS – LEADWOOD CAMP
These Terms and Conditions apply to all bookings made with Leadwood Camp (“Leadwood”, “we”, “us”). By making a booking, paying a deposit, or accepting an invoice, the Guest(s) (“you”) acknowledge that they have read, understood, and agreed to these Terms and Conditions.
- BOOKINGS & CONFIRMATION
1.1 Bookings are made by the Guest(s) and confirmed by Leadwood Camp via email.
1.2 A booking is only confirmed once the required deposit has been received and cleared.
1.3 Bookings at Leadwood Camp are charged at a fixed rate based on a maximum of ten (10) guests for a six (6) night stay. The total booking amount is payable in full irrespective of the actual number of guests who arrive, arrive late, depart early, or do not arrive at all.
1.4 Leadwood reserves the right to decline or cancel any booking at its discretion should payment terms not be met.
1.5 – Conservation Levy
Conservation levies are imposed by the Timbavati Private Nature Reserve (TPNR) on all guests entering the reserve and are charged per person, per night. These levies are collected by Leadwood Camp on behalf of TPNR and are payable in addition to accommodation rates to Presidor Twentyfour (Pty) Ltd.
Applicable Rates:
2026 rates:
• R255.00 per person per night
2027 rates:
• R270.00 per person per night
- PAYMENT TERMS
2.1 A deposit is required to secure the booking. The deposit amount will be communicated at the time of when the booking is made. Deposit must at least be paid 6month prior to booking date if not paid prior to 6months.
2.2 Failure to pay the deposit within seven (7) days of receipt of the invoice will result in automatic cancellation of the booking.
2.3 The full balance of the booking must be paid no later than forty (40) days prior to the date of arrival, unless otherwise agreed in writing.
2.4 Leadwood reserves the right to cancel any booking where payment deadlines are not met.
- CANCELLATION POLICY
3.1 All cancellations must be submitted in writing via email.
3.2 The deposit is non-refundable.
3.3 No refunds will be issued for cancellations made within thirty (30) days prior to arrival.
3.4 Early departures, late arrivals, or non-arrival (no-shows) will result in forfeiture of the full booking amount.
- FORCE MAJEURE – NO REFUND POLICY
4.1 Leadwood Camp shall not be liable for any failure, delay, cancellation, or inability to perform its obligations where such failure or delay arises from events beyond its reasonable control (“Force Majeure Events”).
4.2 Force Majeure Events include, but are not limited to:
- Flooding
- Extreme weather conditions
- Road closures or inaccessible roads
- Natural disasters
- Fire
- Acts of God
- Government restrictions
- Any other events beyond Leadwood’s reasonable control
4.3 In the event that a Force Majeure Event occurs within fourteen (7-21) working days prior to the scheduled arrival date, resulting in the Guest(s) being unable to access or utilise their booking, NO REFUNDS SHALL BE ISSUED.
4.4 Where reasonably possible, Leadwood may, at its sole discretion, offer the Guest(s) the option to postpone the booking to alternative dates, subject to availability. This does not create an obligation to refund.
4.5 Guests acknowledge that Leadwood Camp is situated in a remote wilderness area and that access roads are not controlled or maintained by Leadwood.
- TRAVEL INSURANCE
5.1 Guests are strongly advised to obtain comprehensive travel insurance that covers:
- Cancellation
- Force majeure events
- Natural disasters
- Road closures
- Travel delays
5.2 Leadwood shall not be responsible for losses that could have been covered by travel insurance.
- LIMITATION OF LIABILITY & INDEMNITY
6.1 Guests enter Leadwood Camp and its surrounding wilderness areas entirely at their own risk.
6.2 Leadwood, its owners, employees, and agents shall not be held liable for any injury, illness, loss, damage, death, or expense suffered by Guests arising from:
- Use of the facilities
- Wildlife encounters
- Acts or omissions of third parties
- Events beyond Leadwood’s control
6.3 Guests hereby indemnify and hold Leadwood harmless against any claims arising from their stay, except where caused by gross negligence or wilful misconduct by Leadwood.
- SELF-CATERING & PROPERTY USE
7.1 Leadwood Camp operates as a self-catering lodge.
7.2 Guests are responsible for their own food, supplies, and personal belongings.
7.3 Any damage caused to the property or its contents during the stay may be charged to the Guest(s).
7.4 Leadwood reserves the right to charge for excessive cleaning or damage.
Transport & Travel Arrangements
7.5 Guests are responsible for arranging their own transport to and from Leadwood Camp and do so entirely at their own discretion and risk. Leadwood Camp is not a registered South African tour operator and does not provide or charge for transport or travel services.
From time to time, Leadwood Camp may recommend independent third-party tour or transport providers as a courtesy only. Such recommendations do not constitute an endorsement, and Leadwood Camp accepts no responsibility or liability for the services provided by such third parties.
- CHILDREN, OCCUPANCY & CONDUCT
8.1 Maximum occupancy limits must be adhered to at all times.
8.2 Parents and guardians are fully responsible for the supervision and safety of children.
8.3 Guests must behave in a respectful manner and comply with lodge rules at all times.
8.4 For safety reasons, Guests may not leave the camp on foot without notifying the Camp Manager. Failure to comply, or any conduct that places people, wildlife, or property at risk, may result in termination of the stay without refund.
- INDEMNITY WAIVER
9.1 By entering the premises, Guests acknowledge the inherent risks associated with staying in a remote bush environment.
9.2 Guests waive any claims against Leadwood arising from such inherent risks.
- INDULGENCE / NO WAIVER
10.1 Any relaxation, indulgence, or leniency shown by Leadwood shall not be construed as a waiver of any rights or terms.
10.2 All Terms and Conditions remain fully enforceable at all times.
- GOVERNING LAW
11.1 These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the Republic of South Africa.
- ACCEPTANCE OF TERMS
12.1 Payment of a deposit, acceptance of an invoice, or occupation of the lodge constitutes full acceptance of these Terms and Conditions.
